A Bill of Materials That Matches the Assembly

A bill of materials links an assembly to the parts, quantities, specifications and revisions needed to build it. It should describe the released configuration rather than a convenient list copied from an old quotation.

Bearing housing, shaft, bearings, spacer and fasteners arranged for assembly

Purchased parts, consumables and alternate configurations can be easy to miss. A mismatch between the model, drawing balloons and BOM can propagate into procurement, stores and inspection.

Practical checks

  • Use unique item references and check quantities against the assembly.
  • Include material or purchase specifications and relevant revisions.
  • Identify approved alternatives and when they are allowed.
  • Check units, make-or-buy status and any items excluded from supply.

Record the finding against the actual part, machine or drawing revision. A useful check identifies both the observation and the conditions under which it was made, so another person can review it.

Common mistakes to avoid

  • Do not let an informal substitute silently change the released assembly.
  • Do not use a vague description where a supplier needs a specific rated component.

What to collect before a review

  • Assembly model and drawing
  • Current parts list
  • Configuration, quantity and procurement requirements

Send clear original files where available. Mark uncertain dimensions, missing information and the result you need. Separate confirmed requirements from assumptions instead of filling the gaps with guessed specifications.

The next decision

Release the BOM with the drawing package and control later changes. Resolve duplicate identifiers, missing specifications and configuration differences before procurement begins.
