Machine Breakdown Data Checklist: What to Capture Before Troubleshooting

A structured checklist of alarms, symptoms, recent changes, operating conditions and evidence to collect before troubleshooting an industrial machine breakdown.

Use this as a technical-preparation guide.

Actual compatibility, process settings and engineering decisions still depend on the equipment, material, drawing and operating condition of the specific requirement.

Define the symptom precisely

Avoid descriptions such as “machine not working.” Record what command was given, what the machine actually did, the exact alarm/code, whether the issue is intermittent and which subsystem appears affected.

Capture the state before resetting everything

Photograph the alarm screen, indicator lamps, pressure/temperature values, controller status and failed part before power-cycling where it is safe to do so. Some evidence disappears after reset.

Ask what changed

Recent maintenance, new consumables, parameter changes, new material, electrical work, coolant replacement, software update, collision or cleaning activity can strongly narrow the investigation.

Compare with the last known good condition

Record the previous stable settings, production condition and maintenance state. Troubleshooting is faster when the failed state can be compared with a verified working baseline.

Contain before root cause

If continued operation could damage equipment, quality or safety, contain the problem first. RCA begins after the immediate risk is controlled.
